Your opportunity:

Under the direct supervision of the Associate Chair, Graduate Studies, receiving guidance from the Graduate Administrator, the Graduate Assistant plays an support role for the Graduate Program Office by serving as a front line responder for inquires and providingprogram support in student services, MA and PHD admission, Award administration and TA administration.

Your responsibilities will include:


  • Providing detailed information to students on program and/or course requirements
  • Acting as the first point of contact for general enquiries
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Troubleshooting timetabling and/or room booking conflicts
  • Writing routine documents and correspondence
  • Tracking and monitoring distribution of awards
  • Checking completeness of applications
  • Coordinating the recruitment and training process for teaching assistants


Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable equivalent combination of education and experience
  • Minimum two years recent and relevant experience in providing program support and student services support in an academic setting, including providing front line client service to graduate students and faculty, responding to inquires related to admission, awards application and student services, supporting admission process, supporting award administration and supporting TA hiring process
  • Demonstrated experience in maintaining data, analyzing data, summarizing data and preparing statistical reports
  • Demonstrated experience in course and exam timetabling and managing electronic calendar
  • Experience working with student information system such as ROSI and ROSI Express
  • Experience administering process and policies in an academic environment
  • Experience reviewing documents/applications and checking for completeness
  • Thorough knowledge of the academic policies, practices and procedures such as School of Graduate Studies and Faculty of Arts and Science policies and procedures
  • Advance skills in MS Office and Adobe Software
  • Advance knowledge of ROSI, ROSI Express, and Quercus, or similar systems
  • Skills in communication tools including web-based survey tools
  • Strong and accurate data entry, word-processing and keyboarding skills
  • Strong planning, organizational, analytical and problem solving skills
  • Excellent verbal and written communication skills with demonstrated ability to explain process and procedures accurately and effectively with a wide and diverse range of people
  • Well-developed editing and proofreading skills
  • Excellent customer service skills
  • Strong and accurate date entry, work-processing and keyboarding skills
  • Ability to coordinate event logistics and perform event setup and closure , including but not limited to standing, bending, lifting and above shoulder reaching etc.


Assets (Nonessential):


  • Technical ability with digital camera and audio visual equipment
  • Knowledge and working experience in Economic programs

USW Pay Band 08 - $56,514 with an annual step progression to a maximum of $72,271. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
